How it works

This automated newsletter delivery system makes it easy to send your email newsletter to anyone who has signed up to receive it. The footer of your marketing website includes a “Sign up for our newsletter” call-to-action button. When visitors click that link, they’ll land on an opt-in page requesting their first name, last name and email. People who fill out this form will be added to this email newsletter automation. 

They’ll receive a confirmation email that thanks them for signing up and lets them know to keep an eye out for your newsletter. And they’ll all receive the email at the same time (that you determine) after you publish the automation. You can add more newsletters to this automation at any time.

How to use and customize your system

Step 1: Click here to view your Newsletter system. Click here to open the automation. At the top, select Edit.

Step 2: Click and drag the orange trigger “Today is a specific date” and drag it to the space on the right.

  • Select “Copy this and all following items”

Step 3: Change the date on the trigger to today's date or the future date you want to send the newsletter. For example, “Today is 10/1/2023.”

Step 4: Click the Wait element to adjust the time of day your newsletter will be sent.

Step 5: Click the “Send an email” element to select the newsletter email you'd like to send.

  • We've preset this to “Newsletter #1” as a placeholder.
  • In Settings on the left, you'll see a dropdown list of email messages you can select from. If you keep the default “Newsletter #1,” click Edit so you can customize the message with your own content. You can also rename it if you want.
    • Note that the preloaded copy in the email mentions the frequency that your subscribers can expect to receive new newsletters. If that doesn't align with your schedule for sending newsletters, edit that copy.
  • Another option is to start from scratch. Open your system here and click +ADD in your EMAILS section. Select +NEW MESSAGE to start from scratch. After you enter a message name in the box, click Save & Edit to work on your newsletter content.
    • Select your preferred email editor. Add your copy, and click SAVE. This will take you back to the automation.

Step 6: Click PUBLISH in the top right. Now your newsletter will automatically send on the date/time you specified! Anyone who signs up to receive it before that date will also be added to this automation and receive your newsletter.

When you want to send another newsletter, follow these steps: 

Step 1: Click here to open the automation. At the top, select Edit.

Step 2: Click and drag the orange trigger “Today is a specific date” to the space on the right.

  • From the options that appear, select “Copy this and all following items.” You'll see all the elements from the left copied over to the space on the right.

Step 3: Change the date on the trigger to the future date you want to send the newsletter.

Step 4: Click into the “Send an email” element to select the newsletter email you'd like to send (such as October 2023: Newsletter #2), or create a new message.

Step 5: Click PUBLISH in the top right.

  • Anyone on your newsletter automation will receive this email on the date and at the time you selected.
Tips
  • Use good naming conventions so you stay organized with your newsletters. Consider including the purpose of the newsletter, which email # it is in a series, and the date it will be sent. 
  • If you want to repeat the same format/design in subsequent newsletters, you can duplicate previous emails. Go to your Messages collection, check the email you want to copy, click Actions and click Copy. Then rename your newsletter and edit the content. Once it’s saved, you’ll be able to access this message from within your newsletter delivery automation to send it out.
  • Schedule your newsletters in advance as much as possible. This will minimize the chance that you’ll select a time (or timezone option) that's already passed by the time you've published the changes! Remember that your newsletter will be sent at the time you select in the client’s time zone.
