The Challenges

By 2024, after nearly a decade in business, Bx had become one of the world’s fastest-growing networking communities. But with that growth came a challenge: how to maintain consistency, personalization and operational efficiency across 280+ locations and thousands of members.

Bx knew it was time for a serious tech reset. Their tech stack — a patchwork of over a dozen tools including Trello for pipeline management, Infusionsoft for CRM, and spreadsheets for everything in between — was holding them back. The tools didn’t talk to each other, leading to inconsistent member experiences, repetitive manual tasks, and hindered scalability.
Too many tools, too much complexity
Over time, Bx had assembled more than 12 different tools, with at least seven of them used daily. The web of systems was so tangled that it required a 39-page training slide deck just to teach team members how to keep things running. 
Complicated member logistics
With members at different tiers, a range of voucher types, five payment currencies, and a global event catalog, staying organized was a challenge. Manual data entry and tool-switching made it hard to ensure each person got the right communication and access.
No standardization across regions
Although each location followed the same processes, the tools made it difficult to ensure consistent execution and compliance from one region to the next.

Every event required building a custom web page to share event details and capture registrations, plus manually setting up email automations for confirmations and reminders. It was a massive time sink.

A centralized event hub for the Bx team
From Calgary to Sydney, Bx’s 100+ team members now manage every aspect of their events in one system.

  • Live dashboards: Event leaders can view real-time registration and attendance data.
  • One-click event check-in: Attendees are marked present with a quick QR scan or click.
  • Permissions: Team members get access only to the data relevant to their role or region.
  • Venue management: Local leaders can request new venues for approval from regional managers as well as print on-brand materials like menus and place cards.

Tasks that once took hours across a dozen tools now take minutes — with total visibility and control.
Streamlined Bx team onboarding
Becoming part of the Bx team will soon be a smooth process, thanks to an integrated application and onboarding system launching inside the Bx portal later this year.

  • Online applications: Prospective team members apply through a digital form, and applications are automatically routed to the right decision-maker. 
  • Automated communication: Applicants stay informed throughout the hiring process.
